This policy explains what information Whole Stack Solutions (“we”, “us”) collects through this website and our services, how we use it, and the choices you have. We keep it short and in plain language.
What we collect
- When you contact us or request a quote: your name, email, phone number (if you give it), the type of help you need and your message.
- When you submit a support request as a client: your client ID, contact details, a description of the issue, optional details like when it started and a site address for visits, and any photos or files you choose to attach.
- When we work with you as a client: business and contact details; support tickets, notes and files attached to them; scheduled visit dates and addresses; quotes, contracts and invoices, and payment records; records of remote support sessions; and an inventory of the equipment we support for you (such as device type, make, model, serial number, location, assigned user and warranty dates).
- Technical information: like most websites, our web host records basic request logs (such as IP address, browser type and the page requested) to keep the site secure and working. Our forms record your IP address to block spam and abuse.
What we don't do
- We don't sell or rent your personal information.
- We don't use advertising trackers or third-party analytics on this website.
- We don't ask for your passwords, and we don't keep them in our equipment records. During remote sessions you stay in control and can end the session at any time.
How we use your information
- To reply to your questions and prepare quotes.
- To provide support, track and resolve your requests, and keep you updated by email.
- To send invoices and keep accurate billing records.
- To prepare quotes and contracts, schedule on-site visits, and keep track of the equipment we support for you.
- To protect our website, forms and client portal from spam and misuse.
Cookies
The public website doesn't set tracking cookies. Our private client portal uses a single secure session cookie only to keep authorized staff signed in, and it expires when they sign out or after a period of inactivity.
Who we share it with
Only the service providers we need to run our business, and only for that purpose:
- Web hosting and email providers, which store this website and deliver our emails.
- Zoho Assist, when you join a remote support session. Zoho's own privacy policy applies to that session.
- Google Fonts, which supplies the fonts on this website. Your browser requests them directly from Google.
- Payment, accounting or software vendors, only when needed to complete work you've asked for. If you pay an invoice online, the payment is handled by the payment provider (such as Stripe, Square or PayPal) under its own privacy policy. We never see or store your full card or bank details.
We may also share information if required by law, or to protect our rights and the safety of our clients.
How long we keep it
We keep contact and quote requests for as long as needed to respond and follow up. Client records, tickets, attached files, equipment records, contracts and invoices are kept while you're a client and afterward as needed for support history, accounting and legal requirements. You can ask us to delete information we no longer need.
How we protect it
Our website and client portal use encrypted connections (HTTPS). Portal passwords are stored in a scrambled form that can't be read back, accounts lock after repeated failed sign-in attempts, and access is limited to authorized staff. Files attached to tickets or support requests are stored privately and can only be opened by signed-in staff, and portal backups are kept off the public website. No system is perfectly secure, but we take reasonable steps to keep your information safe.
Your choices
You can ask us to see, correct or delete the personal information we hold about you, or to stop sending you non-essential emails. Contact us using the details below and we'll respond promptly.
Children
Our services are intended for businesses and adults. We don't knowingly collect information from children under 13.
Changes to this policy
If we update this policy, we'll change the date at the top of this page. Significant changes will be highlighted here.
